Hospital Setup & Configuration

Your LookDeep Account Manager will also assist you here with much of the initial setup of a new Hospital within your Hospital System. However, you may prefer to manage these details internally.

Tip

If you prefer to manually configure these areas, we recommend that you start with Units. To create a new Room, you must identify one or more Units with which the room is associated.

Rooms

Rooms are the physical locations where you care for your patients.

Adding a Room

Rooms can be uploaded by the LookDeep Support team using a spreadsheet - contact your Account Manager for support.

To add a Room manually, click the "+ Add Room" button and complete the form:

  • Room Name: give the room a short name
  • Room Description: optionally, you can include a description of the room
  • Units: select one or more Units this room with which this room is associated
  • ADT Code: used for integration with your EMR
  • Visible: toggle on and off

Editing a Room

To edit a Room, click the "Edit" button and update the form.

Units

A Unit is any physical or logical grouping of rooms in a hospital (e.g. 6 West, ICU, Med/Surg 4 North, Surgical Recovery, etc.)

Adding a Unit

Units can be uploaded by the LookDeep Support team using a spreadsheet - contact your Account Manager for support.

To add a Unit manually, click the "+ Add Unit" button and complete the form:

  • Unit Name: give the unit a short name
  • Unit Description: optionally, you can include a description of the unit
  • Visible: toggle on and off

Editing a Unit

To edit a Unit simply click the "Edit" button and complete the form with the same available fields.

Unit List page

You can also expand any Unit on the Unit list page to see all the rooms associated with that Unit.

Video Devices

Video Devices are always Created by LookDeep. Please contact your Account Manager for assistance. Administrators do have access to Edit existing Video Devices.

Field Descriptions

  • Status: Online or Offline
  • Name: editable as needed
  • ID: system generated unique ID
  • Type: fixed, mobilecart, mobile 3rd party, or training video
  • Room: applicable only to "fixed" cameras. Indicates the room the camera is mounted in.
  • Version: version #
  • Update
    • true = an update has already been downloaded and will be used when rebooted
    • false = a new update has not been downloaded
  • State Updated At: last time the device changed state (online / offline)
  • Service Status
    • In Service: available for use
    • Decommissions: taken out of service
  • IP Address: ip address
  • Serial #: not editable. This can be changed by your LookDeep Account Manager if required.
  • MAC Address: not editable - set by system

Additional Fields Available on Edit page:

  • Device Description: editable as needed
  • Network Interface: non-editable field. It will report the type of connection (ie wifi or ethernet) currently for the device with ethernet as the priority if both are available.
  • Video Profile: Set only by LookDeep Administrator. Higher settings all require high bandwidth connectivity and/or an ethernet connection. Higher settings enhance picture quality and zoom clarity
  • Wifi Signal: Signal strength in dBm
  • Wifi County: Country providing wifi
  • Wifi Frequency: Wifi frequency band
  • Wifi DFS Disabled: Used to disable UNII-2C which is generally not recommended for medical settings. The default is that UNII-2C is disabled.

Homepage

The homepage is unique per hospital and is typically customized with the assistance of your LookDeep Account Manager. There are options to customize the image for each of the three columns and the content within each column. This involves some basic CSS/HTML coding.

Preferences

Provides a single page of configurable parameters for the selected hospital.  Access to this page requires the “Edit Hospitals“ privilege to be enabled for your Role

Field Descriptions

  • Hospital Name - name
  • Hospital Timezone - used for timestamp display
  • Description - hospital description
  • Color - optional color
  • Notify for Falls - emails of those active users who would receive an email if an Alarm or Event is documented as a occurred fall

  • Turn Server - IT setting
  • Video Visit Previews - when doing a video visit (virtual nursing or consultation), this setting determines if the user can preview a video prior to the virtual doorknock
  • Alarm Confirmation Message - Alarm message unique to this hospital
  • Nurse Call Integration - used if this hospital is integrated with the onsite Nurse call system
  • Video Device Alarm - alarm sound directly from the camera
  • Alarm Duration (seconds) - # of seconds the Alarm will sound from the camera before it stops

ADT Code - used for integration with EHR
